But if you need a replacement derrick or mast for a drilling rig and the clock is running, this checklist is the system I use when a client calls in a panic.
In my role coordinating equipment replacements for oilfield and utility contractors, I've handled more than 200 rush orders. These six steps have kept me from missing deadlines—and in some cases, from watching a client get hit with a penalty clause.
The 6-Step Emergency Derrick Checklist
This assumes the derrick already failed. It doesn't assume anything else. The steps are simple. That doesn't mean they're easy.
1. Lock Down the Exact Specification Before You Call Anyone
“A derrick” is not a specification. I need the manufacturer, model, serial number, height, API load rating, wind zone, hook load, bolt pattern, pin sizes, and coating specification. If I ask for a serial number and you hesitate, the process slows down before it starts.
Height matters—not in the Derrick Henry sense, but from the base to the crown sheave on the stamped drawing. I learned this the hard way. One client asked for a “replacement like the one in the yard.” The one in the yard was 3 feet shorter. That small difference meant extra engineering and a $2,400 change order.
2. Ask for the API 4F Stamp or an Equivalent Document
Per API Specification 4F, drilling and well servicing structures are designed around defined load and wind requirements. If a vendor can't show you the stamped design basis, they can't build an emergency derrick. They can build something that looks like a derrick and hope it behaves like one.
This is where I get annoying on purpose. I do not accept “we've built these for years” as a substitute for a load chart. If the original drawing is lost, call the manufacturer before the shop starts cutting steel. That call is not a delay. It's a shortcut.
3. Verify Welding, Inspection, and Crane Capacity Before You Approve the Timeline
A rush schedule means nothing if the certified welder, NDE inspector, and crane are all booked. I do not care what the calendar says if the welding procedure isn't qualified. Determination doesn't speed up certified welding.
In March 2024, a contractor called at 4:30 PM after a mast leg cracked during a move. Normal fabrication lead time was six weeks. We found a shop with open capacity, paid a $1,400 expedite fee on top of an $11,200 base, and completed a certified repair by 6:15 AM the next day. The client's alternative was a $40,000 standby invoice.
I also double-checked the bolt pattern before that order. One wrong bolt circle would have turned a 24-hour save into a two-week disaster. Sometimes the difference between relieved and ruined is a tape measure.
4. Demand a Price Breakdown That Shows What Is Not Included
I've learned to ask “what's NOT included?” before I ask “what's the price?” When I compared a quote that listed every line item beside one that said “plus extras as incurred,” I finally understood why transparent pricing costs less in the end. The low number without details is usually a trap.
The vendor who lists all fees upfront—even if the total looks higher—usually costs less when the final invoice arrives. To be fair, no one likes paying for freight, permits, and after-hours crane service. But those costs exist. The question is whether you learn about them before or after you sign.
If a quote says “pricing based on standard scope” and doesn't define the standard scope, call that out. I'm not sure why some emergency quotes come in suspiciously low. My best guess is they plan to make up the difference during inspection. That is not a plan I recommend.
5. Confirm the Transport Route Before You Approve Anything
A derrick doesn't finish the job at the shop. It has to move. A full-size drilling derrick is not a pickup truck accessory. A small service mast can be moved in sections if the truck's payload, bed length, trailer rating, and permits all line up. But “it fits in a pickup truck” is not a transport plan.
Get the route, axle weights, permits, pilot car, and crane offload confirmed in writing. If the vendor says “we handle the trucking,” ask for the trucking company's name and a route survey. I've seen more than one emergency order delayed because a load was 6 inches too tall for an overpass.
6. Build a 48-Hour Buffer Into Every Promised Date
I used to skip buffers because they felt like padding. Then in 2022, we trusted a “Thursday delivery” that didn't arrive until Monday. The delay cost us a $30,000 contract. That is when I implemented the 48-hour rule. If a vendor says Friday, our internal target is Wednesday. If the real due date is Friday too, we have two days of room for weather, weld failure, or bad traffic.
Why does this matter? Because the promise date is not a fact. It's an estimate. The question isn't “can you make it by Thursday?” It's “what are you willing to cut to make Thursday?” If the answer is inspection, you're building the wrong derrick.
Common Mistakes That Slow Down Emergency Derrick Orders
I've seen the same mistakes on almost every rushed project. Avoid these:
- Comparing prices before comparing specs. A low quote for a different load rating isn't a deal; it's a mismatch.
- Forgetting wind load, coating, and accessories. The mast might be cheaper because the ladder, tie-backs, and paint aren't included.
- Using a verbal description instead of a serial number. “Same as last time” is how 3-foot errors happen.
- Trying to compare a mast and a derrick by looks only. That's like asking hawk vs eagle: they look related until you check the wingspan and load path. Both are raptors, but they are not interchangeable. A mast and a derrick both lift loads, but their ratings, guying, and wind behavior are different.
Final Thought
Emergency doesn't mean sloppy. The fastest order I've ever managed was the one that looked slow at the beginning: the client spent 45 minutes pulling drawings and serial numbers, and we avoided two weeks of rework. I'm glad I asked the annoying questions. I almost got talked out of it once. But the extra calls saved us.
If you need a replacement derrick fast, do the verification first. The derrick will still be there after you check the specs. The wrong one won't.
