In 2023, when we audited our replacement plan, our engineer caught that we were planning a heavier top drive the following year. That changed the static hook load requirement by about 12%. We caught it before the quote, not after. That's what step 1 is for.
2. Ask For a Fully Itemized Quote Scope
A quote that says 'fully equipped' without listing what 'fully' means is a quote that will surprise you. I want each vendor to break out the major components: mast sections, base, water table, crown platform, racking board, access ladder with rest platforms, fall protection, coating system, and any attachment steel for the specific rig.
If a vendor won't itemize, that's a sign they don't want you comparing the details.
3. Compare Total Cost of Ownership, Not Sticker Price
Sticker price is only part of the story. In a recent bid, Vendor A quoted $187,000 delivered. Vendor B quoted $162,000 before we added freight, commissioning, a spare parts package, and a post-startup service visit. When we itemized B's full list, it came to about $202,000. Vendor A wasn't the cheapest line item; it was the cheapest total cost.

4. Verify the Paper Trail Before Any Down Payment
This is the step most buyers skip. I understand why; the load charts all look similar, and no one wants to slow down an approval to ask for documents. But the documentation is where the real differences are.
For a new derrick, ask for the load test certificate with the actual date and applied load, NDT reports for critical welds, material certificates for load-bearing members, and a manufacturer's declaration of conformity. For a used derrick, ask for the most recent inspection report and proof that any required repairs were done. I assumed 'same specifications' meant the same documentation. It didn't. One vendor had a clean certificate; the other could only produce a summary sheet.
5. Put Freight and Site Logistics Into the Same Spreadsheet
A 147-foot derrick is not a normal truckload. If you're moving it across state lines, you may be dealing with overweight and over-dimensional permits, route surveys with bridge clearance checks, utility line clearance, and a crane that actually has the reach to set it up.
I made the mistake of assuming a high quote with 'free shipping' included a full route survey. It didn't. The truck driver called us at the state border and said a bridge was too low. That delay cost more than the survey would have.
6. Do a Hands-On Inspection Before the Final Milestone Payment
When the derrick arrives, don't sign off based on crate photos. Walk the structure and check for damage, corrosion, missing bolts, and any signs the coating got touched up without the underlying metal being addressed. For a used derrick, it is worth paying a third-party inspector with calibrated ultrasonic testing equipment to check thickness on the critical areas.
There is something satisfying about catching a corroded ladder before the funds move. It feels much better than catching it after the supplier has been paid.
Common Mistakes I Keep Seeing in Purchase Approvals
- Treating all vendors' 'standard specifications' as identical. They are not. Coatings, bolt grades, and inspection requirements vary even when the main load chart says the same thing.
- Not connecting the delivery date to your actual project deadline. I said 'as soon as possible' on one order; the vendor heard 'whenever convenient.' The result was a delivery after our permit window closed.
- Making progress payments based only on a calendar instead of on completed milestones with attached documentation.
- Assuming the warranty covers installation damage. It often doesn't, and that becomes your cost, not the manufacturer's.
